What the AI assistant does

Answers, qualifies, books, escalates

Not a generic call-handling robot. The assistant is trained on your business — your services, your pricing, your hours, your areas covered. It sounds like your business because it knows your business.
Answers Every Call
24-hour coverage. Out of hours, lunch breaks, when you're on a job, when you're asleep. Every call answered, never to voicemail. Natural speaking voice that most callers won't realise is AI.
Qualifies Enquiries
Asks the qualifying questions you'd ask. Postcode for service-area checks. Job type, urgency, rough size, ideal date. Captures the answer set in your CRM so you call back warm leads, not cold ones.
Takes Bookings
Integrated with Google Calendar, Outlook, Calendly or your existing booking system. The assistant can offer real availability, take the booking, and email confirmation to both you and the customer automatically.
Answers Common Questions
FAQs in your voice. Opening hours, prices, areas covered, parking, deposit policies, anything else customers ring up to ask. Frees you from being interrupted by the same five questions every day.
Escalates Urgent Calls
Rules you define: any caller mentioning 'leak' or 'emergency' gets transferred immediately to your mobile. High-value customers always get through. Out-of-hours emergencies go to your on-call number.
Logs Everything
Every call logged in your CRM or dashboard with the caller's number, the conversation transcript, the assistant's interpretation, the action taken. You see every interaction and can adjust the script any time.
The cost of missed calls

Voicemail loses business — every missed call is a competitor's win

Every Missed Call Is A Lost Lead
Trades businesses lose an average of £300-£800 per missed call. After-hours calls almost always go to a competitor who answered.
Voicemail Doesn't Convert
Most people don't leave voicemails. Of those who do, less than 20% will call back if they don't hear from you within an hour.
A Human Receptionist Costs £20k+
And they sleep. And take holidays. An AI assistant costs a fraction of that and never goes off duty.
You Lose Customers To Slow Response
Modern customers expect instant answers. An AI assistant gives them one in seconds, even when you can't.
The technology

Voice AI plus a custom backend, fully under your control

Under the bonnet, every AI assistant we build runs on Vapi (the voice AI platform) with a custom backend in n8n or a bespoke WordPress plugin that handles caller lookups, CRM updates, call logging, transfer rules and SMS notifications. The phone number is a UK Twilio number that routes to the assistant.

The script is yours — written in plain English, easy to update. Add a new service? Update one line. Change your pricing? Update one line. Change your hours? Update one line. The assistant picks up the new rules immediately. You don't need a developer for ongoing tweaks — you do it yourself in a Google Doc that the assistant reads at every call.

And because the platform stack is yours, you own the call logs, the transcripts, the customer data. Nothing is locked behind a SaaS subscription's data export feature.
We use it ourselves

Meet Miss Moneypenny and Michelle

We don't just sell AI receptionists — we run two of our own.

Miss Moneypenny is Bill Amos's personal PA assistant. She answers his public number, handles all incoming enquiries, qualifies callers, schedules callbacks, and screens cold callers. Bill's private mobile is known only to Moneypenny — every other call gets handled first.

Michelle is the building receptionist for the South Cumbria Skills Exchange. She handles enquiries to the centre's main number, books training course consultations, answers questions about courses and grant eligibility, and routes specific enquiries to specific staff members based on the topic. She runs 24/7 and handles every call that comes in.

Both are built on the same architecture we sell to clients. We dogfood our own product.
Setup process

From signup to first call in 1-2 weeks

Most AI receptionist setups take 1-2 weeks from signup to first live call.

Week one: discovery call to capture your services, pricing, hours, FAQs, escalation rules and integration needs. We provision a UK Twilio number for the assistant. We write the first version of the script. You hear a demo and we iterate together. We wire up the CRM or calendar integration.

Week two: parallel running — your existing number forwards to the assistant during the day, while you also continue to take calls directly. We listen to the call logs together and refine the script. Once you're happy, we cut over fully and the assistant becomes your primary phone handler.

From that point forward, ongoing changes — new services, price updates, new escalation rules — take minutes, not days. You make them yourself in a shared document; the assistant picks them up immediately.
Who it's for

Trades, holiday lets, salons, garages, professional services

Plumbers, electricians, scaffolders, roofers — high-value jobs that go to whoever answers. Holiday lets and campsites — bookings that need taking 24/7. Salons, barbers and beauty therapists — appointment scheduling without tying up the receptionist. Garages and MOT stations — booking confirmations and breakdown enquiries.

Solicitors, accountants, financial advisers — initial enquiry handling that respects confidentiality. Estate and letting agents — viewing bookings and tenant enquiries. Veterinary clinics — appointment requests and emergency triage. Anyone whose phone matters and who can't sit on it all day.

If your business is small enough that you can't afford a full-time receptionist but big enough that missed calls cost you real money — an AI receptionist is the right answer.
Pricing

Setup fee plus a monthly platform cost

AI receptionist pricing is straightforward. A one-off setup fee covers the discovery, script writing, script review iterations, integration with your CRM or calendar, Twilio number provisioning, testing, training and the first month of monitoring.

A monthly platform cost thereafter covers the Vapi voice AI usage, the Twilio phone number, ongoing monitoring, transcript review, and quarterly tuning sessions where we improve the script based on real call data.

Total cost typically £150-300 a month for the platform — significantly less than a part-time human receptionist, and an order of magnitude less than a full-time one. The setup fee is a one-off in the low four figures, depending on integration complexity. Contact us for current pricing — it depends on call volume, integrations needed, and how complex your business is to capture in a script.
Beyond receptionists

AI sales agents and outbound voice agents too

The same technology that powers AI receptionists also powers AI sales agents and outbound voice agents.

AI sales agents handle inbound enquiries from your website — they qualify the lead, capture details, propose a call slot, and pass a qualified meeting straight to your sales team's calendar. Useful for businesses doing high volumes of inbound traffic that can't keep up.

Outbound voice agents handle follow-ups, lapsed-customer recovery, appointment reminders and feedback collection. They sound like a human, they pause and adapt, and they record every call. Useful for businesses with large customer bases where personal follow-up matters but isn't cost-effective at human rates.

If your phone work is bigger than just inbound receptionist coverage, the same Vapi-plus-bespoke-backend architecture handles it.

Common questions about AI receptionists

What new clients ask before signing up

Does it sound like a robot?

No. Modern voice AI is genuinely good — the assistant uses a natural speaking voice, handles pauses, asks follow-up questions naturally, and adapts to the caller's tone. Most callers don't notice they're talking to an AI. We can let you hear an example call before you commit.

The assistant transfers urgent calls straight through to your mobile, using rules you set. For example: any caller mentioning 'leak' or 'emergency' gets transferred immediately; any quote enquiry gets a callback within four hours; named existing customers always get straight through.

Yes. Every call is logged with the caller's number, the conversation transcript, the assistant's interpretation, and the action taken. You can review them on a dashboard or get a daily email summary. You'll often spot things to improve in the script from these logs — and the changes are easy to make.

Yes. We integrate with Google Calendar, Outlook, Calendly, and most booking systems. The assistant can offer real availability based on your calendar, take the booking, and email confirmation to both you and the customer automatically.

Yes. UK Twilio numbers, UK data routing on the AI side where possible, full call transcript logging with retention policies you control. We can write a DPA covering the deployment if your industry requires it.

Setup fee plus a monthly platform cost. Setup is one-off in the low four figures depending on integration complexity. Platform cost is typically £150-300 a month covering AI usage, Twilio number, monitoring and tuning. Significantly less than a part-time receptionist.
