This privacy policy explains how Technophobia Ltd handles your personal data on this website, during bookings and payments, and when we deliver automation projects. It follows UK GDPR and the Data Protection Act 2018.

We provide automation and software services for small teams in the UK.

Data we collect

Information you give us

  • Contact forms: name, email, phone, company, message.
  • Bookings (Calendly): name, email, meeting details, time zone.
  • Payments (Stripe): name, email, billing details. We do not store full card numbers.
  • Support messages and calls: contact details and any information you share.
  • Attachments sent for scoping or demos (may include personal data).

Information we collect automatically

  • Technical data: IP address, device and browser, pages viewed, time on page.
  • Cookies or similar technologies for essential functions and optional analytics.

Client project data (after you hire us)

  • Service credentials and API keys you supply (e.g., WordPress, CRM, email, payments).
  • Customer records required to test and run automations (e.g., leads, orders).
  • Operational logs and error details from our self-hosted systems (e.g., n8n).
Lawful bases
  • Contract: respond to enquiries, scope work, take deposits, deliver services.
  • Legitimate interests: run and protect our site, improve services, prevent abuse.
  • Consent: optional analytics or marketing. You can withdraw consent at any time.

Sharing and processors

We do not sell your data. We share it with providers who help us run the business, or when the law requires it.

Our main processors and tools

  • WordPress (website CMS) and our UK hosting provider.
  • Calendly for meeting scheduling.
  • Stripe for deposits and payments.
  • Google Analytics 4 for optional analytics (consent-based).
  • OpenAI API for safe drafting/classification within client automations (API use only).
  • Twilio for SMS/voice in projects, if enabled.
  • n8n (self-hosted in the UK) to run client automations.
  • StirlingPDF (self-hosted) for document processing.
  • Email (IMAP/SMTP) for business email and support.

We use standard IT, backup, and security services. We have appropriate data protection terms in place.

Cookies and analytics

We use essential cookies so the site works. With your consent, we use analytics cookies to understand visits and improve content. You can change your choice through the cookie banner settings at any time. Blocking some cookies may limit features.

Retention
  • Enquiry emails and form entries: up to 24 months.
  • Booking records: up to 24 months.
  • Client project data and logs: project life plus up to 12 months, unless we agree otherwise.
  • Financial records (e.g., invoices; Stripe data): 7 years.
  • Automation logs on self-hosted systems: typically 30–90 days unless support needs longer.

We delete or anonymise data when it is no longer needed.

Security
  • Encryption in transit and secure configuration.
  • Least-privilege access and key rotation.
  • Separate secrets storage.
  • Activity logging, error tracking, and updates.
  • Vendor due diligence and data minimisation.
International transfers

Some providers may process data outside the UK (for example, the EEA or US). When this happens, we use safeguards such as the UK Addendum to the EU SCCs, the UK IDTA, or an adequacy decision.

Your rights

You can:
