Data Subject Rights (DSAR) Procedure

This page explains how you can exercise your data rights with Technophobia Ltd under UK data protection law. For data we process on behalf of clients, contact the client first as the controller. We will support them under our DPA. See also our Privacy Policy.

1. Your rights

2. How to make a request

  • No set form is needed. A clear email is fine.

Include:

  • What right you want to use (e.g., access, erasure).
  • Any identifiers that help us find your data (e.g., email used on forms, booking date).
  • If acting for someone else, your authority to act.

Template (copy/paste): “I am exercising my right to [access/erasure/etc.] in relation to personal data held by Technophobia Ltd. My email is […]. Please respond by email.”

3. Identity checks
  • We may ask for reasonable proof of identity to protect your data.
  • Examples: reply from the email you used with us, or limited ID details. Do not send full ID scans unless we ask.
  • We use secure channels for any sensitive documents.
4. Timelines and fees
  • We aim to respond within one month of receiving your request.
  • We may extend by up to two months for complex or multiple requests. We will tell you if we do.
  • Requests are free. We may charge a reasonable fee or refuse if a request is manifestly unfounded or excessive. We will explain our decision.
5. Scope and limits
  • We cannot disclose information that would affect the rights and freedoms of others.
  • Legal or regulatory duties may require us to keep some data.
  • Backups and logs are not routinely searched unless needed to meet your rights or law.
  • Trade secrets and confidential material may be redacted where appropriate.
6. What we provide
  • Access: the data we hold about you, the purposes, categories, recipients, retention, source (if not from you), and your rights.
  • Portability: a machine-readable file (where the right applies) or we send it to another organisation where technically feasible.
  • Erasure/Restriction: confirmation of actions taken or reasons why we cannot fully comply.
7. If we are a processor

For client data handled in automations we run for clients, we act as a processor. Please contact the relevant client as the controller. We will help them respond under our DPA and Sub-processor arrangements.

  • We log DSARs, actions, and dates for audit.
  • We keep request records for up to 24 months.
10. Complaints
  • If you are unhappy with our response, contact us first so we can help.
  • You can also complain to the Information Commissioner’s Office (ICO). See ico.org.uk/make-a-complaint.
