Project · Outdoor Pursuits Booking

One activity, everywhere it needs to be

Ros runs Way Out West Mountain Adventures from the Western Lake District — group walks, women-only walks, wild camping, sunrise and sunset adventures, navigation courses, and bespoke days out across some of the most dramatic terrain in England. The business was growing strongly, but every booking came in by phone, email, or social media message. Managing multiple activity types across different dates — each with different difficulty levels, capacities, and prices, all tracked manually — was becoming unsustainable.

Dynamic walk records

Each walk is a structured record with its own difficulty, capacity, meetup point, and price. Edit once, every page updates.

What3Words interactive map

Colour-coded Leaflet map pins every activity at its exact meetup three-word address. Filter by difficulty and category.

Colour-coded events calendar

A live monthly calendar shows every event colour-coded by type — group walks, women-only, wild camps, sunrise/sunset.

Stripe payments via WooCommerce

Online booking with capacity tracking, payment processing, and automated confirmation emails to guests.

Gift vouchers with live balance

Vouchers redeemable against any walk, with the remaining balance updated in real time on every redemption.

Discount codes

Promo codes for returning guests, marketing campaigns, and partner referrals — managed from the same admin.

Why custom, not Eventbrite

Keep the customer, keep the margin

Off-the-shelf booking platforms charge per-booking fees that scale with the business, lock the customer relationship inside the platform, and offer no control over the page guests land on after the click. For an outdoor activity business where every booking is a personal commitment to a guided day in serious terrain, that loss of control matters.

We built Ros a platform she owns. No commission on every place sold, full control of the customer journey, every walk on her own domain in her own brand, with Stripe taking 1.4% per UK card payment. Ros expands her programme at will — adding new walks, new categories, additional dates — in minutes, not hours, without involving a developer.

Built Around Your Business

Tailored systems designed for the way you work.

The Outdoor Pursuits Booking plugin (TPOPB) is a custom WordPress plugin built by Technophobia. Each walk is a structured record with its own difficulty level, capacity, meetup What3Words address, category, and price. Each scheduled date is an event linked to that walk record — multiple dates per walk are first-class, so a popular route can have a beginner Saturday and an advanced Sunday on the same template.

The architecture

WooCommerce handles the cart and Stripe processes the payment. The plugin owns the inventory side — capacity tracking, sold-out states, gift voucher balances, discount code validation. Whamos designed and built the surrounding website; Technophobia developed the plugin.

What3Words map

The right walk at the right place

Every activity Ros creates is automatically plotted on a custom Leaflet map as a colour-coded pin at its What3Words meetup address — the precise three-word address that takes guests to the exact car park, field entrance, or trailhead. Green pins are beginner-friendly. Amber for some walking experience. Red for seasoned walkers ready for big mountain days. Guests filter by difficulty and category, then click straight through to book.

A live monthly calendar shows every upcoming event colour-coded by type. Green for group walks, separate colours for women-only walks, wild camping, sunrise/sunset, navigation courses, and bespoke days. Guests scroll the months ahead and click any event to book it directly. The calendar pulls from the same event records as the map — Ros never updates the calendar separately, she creates an event and it appears instantly.

See the whole programme at a glance

Real-time, no manual reconciliation, no parallel spreadsheets.

Vouchers and capacity, built in

Gift vouchers, discount codes, hard capacity

Gift vouchers are sold as WooCommerce products with a custom value field. The voucher carries a code and a live balance — redeemed against any walk, with the remaining balance written back instantly. Partial redemptions leave the voucher usable for the next booking. Capacity is hard-enforced at the inventory level — when a walk hits its participant cap, the booking flow blocks further sales for that date automatically.

The platform extends naturally beyond standard group walks. Private guided days built around the guest sell through the same booking flow. Navigation training and map-and-compass courses are scheduled as events with their own category. Sunrise and sunset walks have their own calendar colour and category page.

One engine, every activity type

One engine handles the entire commercial programme — no separate systems, no manual exports.

What this proves

A platform Ros owns and runs herself

An outdoor activity business can have a fully-featured booking platform that costs less per booking than Eventbrite or Pitchup, keeps the customer relationship on the operator's own domain, and is genuinely manageable by the owner without a developer. TPOPB is live, taking real card payments from real guests in the Lake District. If you run guided activities, courses, tours, or experiences, the same plugin can be configured for your business.

Common questions

Outdoor pursuits booking, plain answers

FAQs

Yes. Ros at Way Out West manages every walk, every event date, every voucher and discount code through a single WordPress admin. No code, no developer calls. We train you on the admin during launch and you take it from there.

Yes. The plugin handles any activity that has a date, a capacity, a price, and a meetup point — guided rides, kayak sessions, bushcraft courses, photography workshops, wild swimming, navigation training. Categories and difficulty tiers are configurable to your programme.

Stripe via WooCommerce — 1.4% per UK card transaction. No per-booking commission, no platform fee. The customer pays you on your own domain and you keep the relationship.

Yes. Vouchers are sold as standard WooCommerce products with a custom value. Each voucher carries a unique code and a live balance — partial redemptions leave the remainder usable for the next booking.

Every activity record holds a What3Words three-word address for its meetup point. The plugin plots a colour-coded pin on a Leaflet map automatically. Guests filter the map by difficulty and category, then click any pin to book. You never edit the map directly — it follows the activities you create.

Outdoor Pursuit Booking is a Tier 2 product only — £3,500 setup and £50 per month, all plus VAT. We register the domain on our account, install and configure the plugin on our hosting, and you advertise the URL to your customers. You install nothing on your own site.

Running outdoor activities and tired of Eventbrite fees or paper diaries? Let's talk about an Outdoor Pursuits Booking platform that puts you in control.
